Bibliographic data collection

 As part of a project, Center for Information Technology of the Graduate School of Engineering is currently building a research activity database.

This research activity database is also linked to the Kyoto University Academic Information Repository project, which permanently accumulates and makes publicly available research results such as academic papers.

Request for cooperation in collecting bibliographic data for academic papers (2025)

We will again be adding data that has been added to the Web of Science (WoS) and the CiNii Research Information Navigator since last year's survey to the database. Please check and revise the research paper checklist in the following order.

Procedures for checking and correcting thesis checklist

The workflow is as follows. The survey targets the laboratories (including collaborating courses) listed in the laboratory code table below.

  1. Download the paper checklist (Excel file) from the web
  2. Mark papers in the list that are unrelated to your laboratory for deletion
  3. Indicate whether or not the paper has been peer-reviewed
  4. Confirm and correct the category, language, SPS-ID, laboratory code, and author's classification (status) at the time
  5. Send the revised paper list (Excel file) by email

Please read the details in the "Paper List Check Instructions" below carefully before proceeding.

This survey is conducted by laboratory (field), so please compile the results for each laboratory before proceeding. We understand that this is a very busy time, but we appreciate your cooperation.

How to submit the checked lists

 Please attach the checked list (usually two Excel files) and send it by email. Please write the lab code at the beginning of the email subject line.

Please also include the name, extension number, and email address of the person in charge at your laboratory in the body of the email. Center for Information Technology may contact you regarding the checklist.

FAQ

Q: What is the purpose of this?
A: About a year has passed since last year's survey, and we need to add the latest paper data. In addition, this DB will be used to register the data in the Kyoto University Academic Repository. It will also be used for external evaluations and COE reports.

Q: Will the data be entered into the university-wide research activity DB in bulk?
A: The data entry of paper data from the Research Results Database (hereinafter referred to as the Engineering DB) to the university-wide education and research activity DB is carried out once every six months for all engineering faculty and staff who wish to do so. This is carried out after a survey of each faculty member on whether they wish to enter data in bulk. In addition to the bulk entry, each faculty member can also transfer data from the Engineering DB to Researchmap using a CSV file. Q: Will there be any confirmation regarding the registration of papers in the repository?
A: The "Confirmation of Paper Registration in the Kyoto University Academic Repository," which was carried out until 2015, will not be included this year. In addition, you do not need to enter any information in the repository registration column of the checklist. Q: There are papers on the list of faculty members who have already retired or been transferred. Should these be deleted?
A: If the results are from the laboratory in question, of course they should remain on the list. Please enter the title of the author at the time of the paper's submission. For example, if the person is currently a professor emeritus and is a professor at the time of submission, the author category will be "P". If the person is affiliated with another institution at the time of submission (even if they are a professor emeritus), please enter U, I, etc.

Q: It seems that the results of faculty members who have been transferred are missing.
A: This survey is for faculty members who are enrolled this year, so there is a possibility that the results of faculty members who were enrolled before last year are missing. If there seem to be a significant number of papers published last year, please contact us. We will remake the list.

Q: I have been transferred from outside the university. What should I do about papers written at my previous institution?
A: Since the main purpose of this list is to create basic data for the list of results of the Kyoto University Graduate School of Engineering, the list has been created to search only papers written by those affiliated with Kyoto University. However, it is possible to enter papers written while employed at other universities or institutions in this database. However, when registering, please enter the status at the time. (For example, if the status at the time was another university in Japan, select "Affiliated with a domestic university other than Kyoto University.") Then, delete (leave blank) the laboratory code for all authors of the paper.

Q: I found a typo in the title or author name.
A: To create this checklist, we directly used data downloaded from WoS and CiNii, and did not manually manipulate the content. We believe that the data in WoS and CiNii itself is incorrect. We apologize, but please correct the list to the correct data.

Q: There was a reorganization, and the name of the laboratory changed.
A: If the lab (field) at the time and the current lab correspond one-to-one (only the name has changed), please check the list as the same lab. If multiple labs have merged, derived, or separated, please contact us individually.

Q: I found an error in the lab fields table.
A: If there is an error in the field name in the lab fields table, please contact the Information Center with the correct name, etc. We will correct it.

Q: Can I register papers that are in press or accepted?
A: This database includes papers with confirmed page numbers or paper IDs that replace them, and does not include papers that are in press or accepted.
